Tasks and schedules

Use Tasks for work that has a clear result. Run it once, let the employee plan a larger job, or save it to run again on a schedule.

Use a one-off task when you know the job and only need it once.

Review today’s new leads in Salesforce. Show the owner, source, next step, and any lead with no follow-up date.

Use Agentic Planning when a job has several parts and you want to review the plan before it runs. State the finish line in plain language. The employee prepares the steps and waits for you to start the work.

Use Scheduled Tasks for a job that should run again. Choose the employee, write the instruction, set the time, and select how often it should run.

At 8:00 a.m. Eastern every weekday, check my calendar and open Asana work. Send me the meetings, anything overdue, and the first decision I need to make.

Include the time zone. Name the connected account or project when more than one could match.

Task history shows the recent runs and results. A connected action that needs your decision appears as an approval before it runs.

Email drafting can also begin when a new Gmail or Outlook message arrives. See Email drafts for that setup.
